5 Italy Wedding “Musts” Couples Can Forget

Tips and Trends

As experts in destination weddings in Italy, we consistently see a few details couples forget to organize before their wedding celebration.

These details may not seem like the most exciting parts of wedding planning. However, they can have a major impact on your guests’ experience and your overall wedding budget. Here are five important things to plan before everyone arrives in Italy.

1. Register Your Entertainment With SIAE

If you are hosting entertainment at your wedding in Italy, you will need to register it with SIAE, the Italian Society of Authors and Publishers.

The cost is usually around €250–€500 per day of entertainment. You must register each event day separately. The requirements can vary based on the location, timing, and type of entertainment.

This is an important expense to include in your wedding budget from the beginning. Your planner or entertainment team can help you determine exactly what you need to register.

2. Plan Transportation for Your Guests

Transportation can make or break a guest’s experience at a destination wedding.

Uber and taxis are not readily available in many parts of Italy, especially in rural areas and the countryside. Guests may need transportation to and from the airport, train station, hotel, and wedding events.

We recommend organizing transportation in advance. If you are not providing transfers, give your guests reliable resources for booking their own rides.

Do not assume guests can simply call a taxi when they arrive. In many areas, advance reservations are essential.

3. Confirm Vendor Meals

Vendor meals are another detail couples sometimes overlook.

Italian destination weddings often involve vendors traveling within a region or coming from another part of the country. Many vendors also travel with a crew. The same team may set up the event, work throughout the celebration, and return later to dismantle everything.

Because of this, several people may need meals during the event.

Confirm the number of vendor meals with every vendor ahead of time. Also, ask about dietary restrictions or allergies. This gives your caterer an accurate headcount and ensures everyone working at your wedding is taken care of.

If you are booking a villa, borgo, castle, or masseria for your guests, plan your room assignments well in advance.

Many accommodations require a detailed guest list with the legal names of everyone staying on the property. Some may also request passport information or copies of passports before arrival.

Confirm each guest’s check-in and check-out dates. Then make sure those dates match the accommodation’s records.

Taking care of this information before arrival can make check-in much faster and prevent unnecessary confusion after your guests have traveled across the world.

5. Plan Meals Outside the City Center

Staying in the Italian countryside is part of what makes a destination wedding so special. It also requires more planning.

Many rural villas, borgos, castles, and masserias do not have restaurants on site. Nearby restaurants may also be limited, especially for larger groups.

If your guests do not have rental cars, make a plan for lunches and dinners that are not included with the wedding. This could mean arranging group transportation, making restaurant reservations, or organizing meals at the property.

Even when guests are paying for their own meals, they still need a plan.

The Details Make the Difference

These five details may not be the first things you think about when planning your Italian destination wedding. They are, however, essential to creating a smooth and enjoyable experience for your guests.

They also help you avoid unexpected expenses and last-minute logistical challenges.

As part of our destination wedding planning experience, we organize these details on behalf of our couples. We coordinate the logistics so you can focus on enjoying your celebration and spending time with your guests.

If you are planning a destination wedding in Italy without a full-service planner, make sure these details are handled well before everyone arrives.

Because when it comes to an Italian destination wedding, the little details can make a very big difference.
